Workplace permissions allow site owners to control which actions can be performed by which team members within the workplace. Site owners can set permissions based on the needs of the site and different teams. Feel confident and ready to go with these permission settings.

How does it work?

Workplace permissions will be secondary to any permissions set at the account level. This means that if account-level permissions are set so that only admins can create private boards, workplace permissions cannot be set to allow everyone to create private boards.

When setting permissions for a workplace, the workplace owner will be able to decide which permissions can be performed by each role in the workplace (whether they are a workplace owner, workplace member, or non-member). You can read more about these workplace roles in this section of the article!

Setting workplace permissions

You can find the permissions for a workplace by clicking on the name of the workplace itself from the drop-down menu of places. Then, from the home page of the place , select the “Permissions” tab as shown below.

Once you are in the “Permissions” tab, you can decide which workplace roles (adopted in the section below !) will have the permissions to perform certain actions within the workplace, such as creating types of boards, dashboards, workdocs, and more!

To do this, start by selecting the workplace role on the left side of the screen for which you want to set permissions, as shown below:

You can then select certain permissions to allow the selected role to perform the action, or revoke a permission type to remove their ability.

It’s as simple as that! With workplace permissions, you can decide exactly who can use certain features within your space.

Available permission types

With workplace permissions, you can choose who (i.e., which workplace role) has the ability to perform specific actions within your workplace. You can find the list of available actions below:

Workplace roles

With Workplace Permissions, you can customize which role in the workplace gets access to certain permissions! Read below to learn more about what each Workplace Role means. ⬇️

  • Workplace owner: The person who created the place, or was crowned as the owner by another workplace owner. A workplace owner will appear under the “Friends” tab with a blue crown next to their name.
  • Workplace friend : A person who has been invited to join a workplace. A workplace friend will appear under the “Friends” tab with a gray crown next to their name.
  • Non-Workplace Member: A person who has been invited to a board or workdoc within the workplace, but has not been invited to the workplace itself. A non-workplace member will have partial access to the workplace, but is not considered a full member of the workplace hub and their name is not displayed under the “Members” tab.

Types of jobs

In addition to workplace permissions, you can choose to set your workplace as “Open” or “Closed” to limit who can join it from your account.

With open jobs :

  • Any team member can join immediately and access an open workspace.
  • Each team member will be able to access all central boards in open workspaces and all private/shared boards they have been invited to.

With closed workplaces :

  • Any team member can join by invitation or request to join.
  • Once they join, they will have access to all the main boards in that location, and any private/shared boards they have been invited to.
  • Any team member subscribed to a board from a closed workspace will have access to that board but will not be able to see anything else in the workspace.
  • The main boards in closed workplaces are only accessible to team members who have joined the workplace (and board subscribers as mentioned above).
  • These workplaces will be marked with a padlock sign, indicating a closed workplace.

Workspace Permissions on monday.com: How to set up and manage workspace permissions Note: Enterprise plan administrators will be able to see high-level details about a closed workplace such as its name, subscribers, and creation date through the content directory.

To change your workplace type, select the three dots in the top right corner of your workplace’s homepage. From there, select “Change Workplace Type,” and choose “Closed Workplace” or “Open Workplace” depending on your needs.
