Everything you need to know about Subitems on monday.com

[fact_box]
**Interesting use of sub-details:**
Sub-items can also be used to manage inventory intelligently. For example, if you have a master item of “Store Inventory,” you can create sub-items for each product category, such as “Clothing,” “Shoes,” and “Accessories.” This allows you to track inventory more accurately and manage orders more efficiently.

Subitems provide your board with a deeper structure by allowing you to add an additional layer of information within the items on your board! You can use them to better support your work or enable more complex workflows on a single board. Using subitems will give you the low-level details you are looking for when you are breaking down your work for a more granular view. How to Create Subitems
To create a sub-details, simply click on the arrow located on the left side of your item, as shown below: Note: Sub-details can have their own column structure separate from the parent items in the table. All sub-details in the table will have the same column structure. Currently, it is not possible to create sub-details within sub-details. Copying columns from parent items
When you add sub-details to your dashboard, you may want to quickly copy some (or all!) of the column types you have from your parent items to your sub-details. To easily accomplish this, we’ve added the ability to copy selected columns from the parent item directly to your sub-details. To copy columns from the parent item to the sub-details, start by opening a sub-details on your dashboard. Next, click the plus sign to the right of your last sub-details column and then click “Copy Parent Columns,” as shown below. Now it’s time to select the relevant columns you want to copy to your sub-details! Simply check the box next to the columns you want to add and then click “Copy Columns.” Note: This option does not create a sync between the sub-details and parent items columns, it’s just a copy operation. Any changes made to a column in the parent items will not be affected in the sub-details (and vice versa). How to expand and collapse sub-details
You can expand and collapse your sub-details by clicking the small arrow to the left of the item name, or by clicking the number that shows the number of sub-details within an item. You can also expand or collapse all sub-details by clicking the three-dot menu next to the name of any item in your board and selecting “Collapse all items” or “Expand all items”. Duplicate and create standard sub-details
To duplicate a sub-details, simply select it on the left and click “Duplicate” from the menu that appears at the bottom of the screen. When you duplicate an item or a group or a panel of items that contains sub-details, the sub-details will also be duplicated. Additionally, if you are looking to create a standard workflow where the same group of sub-details is duplicated or created over and over again, there are a few options! You can: – Use automation to instantly create new sub-details on your panel. For example, if you want three of the same sub-details to be created every time an item is added to your panel, you can use the formula “When an item is created, then create sub-details, then create sub-details, then create sub-details”. Or you can also manually select the required sub-details, duplicate them, and then move them to the desired item as needed.

**Using Automation:** If you’re working on a recurring project, like producing a monthly report, use automation to automatically create sub-details each time a new item is added. This will save you time and ensure consistency.

Delete sub-details
If you find that sub-details are no longer relevant or you want to remove them from the board, you can easily delete those sub-details. Select the sub-details using the checkbox to the left of the sub-details. Once selected, a menu box will appear at the bottom of your screen. From the menu, select Delete. Moving Sub-Details Between Items
To move sub-details between other items on your board, simply hover over the left of the sub-details and select them. With the sub-details selected, click “Move to” in the pop-up menu at the bottom of the screen and select the item you want to move them to: Moving items with sub-details to another board
To move items with sub-details to another board, select the items you want to move, click “Move to Board” and select the board you want. After you click the blue button to move the information, you should be good to go! If there are columns that don’t match those of the target board, you can choose to revert to the column mapping or move the items anyway: Note: If you use automations to move items, as long as the column type and column header on both boards are the same, the values will be moved to the created sub-details. If the column header/type doesn’t match, the values won’t be moved and will remain blank. Convert Sub-Details to Items (and vice versa!)
The moment you’ve been waiting for has arrived, you can now convert sub-details to items and vice versa! Let’s see how you can perform each of these operations below. Convert sub-details to item
To convert a sub-details to an item in your dashboard, select a sub-details from the left side and click “Convert” at the bottom of the screen that appears or via the sub-details menu. From there, you can “map” the column values to the parent items in your dashboard. If your parent items have more than one column of the same type (as we have multiple status columns in the example below), you can choose which one to convert. Note: If there are parent column types that do not exist in your sub-details, this information will be deleted during the conversion. Convert Item to Sub-Details
Similar to the conversion shown above, to convert an item to a sub-item, you can start by selecting the desired item on the left and clicking “Convert” at the bottom of the screen or via the item menu. This will require you to select the parent item that the converted sub-item will be under, like this: Once you have selected the parent item that the converted sub-item will go under, you can map the column values to sub-item column types on your board. Note: As before, if there are sub-item column types that do not exist in your parent items, this information will be deleted when you perform the conversion.

**Smart Conversion:** If you see that certain sub-items are becoming more important, consider converting them to separate items. This can help you manage the information more efficiently.

To get a summary of your sub-details data directly on the parent item, you can do so by using the “Collection” feature! In the sub-details, open the settings of the desired column that you want to reflect on the parent item and select “Show summary on parent item”: You can summarize many different sub-details columns on the parent item, such as a tags column, time tracking, date, numbers and more, to get a clear overview of your sub-details in one place: Sub-details activity log
Looking to track the actions you and your team have taken on sub-details in a board? We’ve created an activity log for your sub-details for just that! To access a sub-details’ activity log, simply click on a sub-details to open it, then select “Activity Log.” Here, you’ll find a running list of the actions taken on a given sub-details. Note: Sub-details are not supported on the quick suggested filter. However, they are supported on the board’s advanced filter, board search bar, and people filter. Sub-details in dashboards
Regarding viewing sub-details information on dashboards, currently, the Gantt, Timeline, Workload, Battery, Numbers, and Calendar anchors, as well as the sub-details files in the file view, support sub-details. Look out for more sub-details anchor support in the future!
