Saying goodbye to a coworker is never easy, but monday.com is here to make the transition as smooth as possible, and ensure you don’t lose productivity. In this article, we’ll talk about the important elements that you need to manage with your manager during the transition process.
Make sure you are admin
First, the changes described in this article should be based on you being the account administrator. You can see who the administrators are on your account by going to the admin area. In that area, you can take all the necessary steps to take ownership from a departing colleague. If you are not an administrator on the account, you will need to ask another administrator to change your user type.

Change ownership of Boards
There are specific permissions granted to Board owners. To ensure you have full access to the departing employee’s Boards, you can transfer ownership of those Boards to yourself in just one step. On the Admin page, under the Users category, select the Board Ownership tab at the top of the page.

From here you can select the current Boards owner and choose yourself or any other member of the account as the new owner of all their Boards. It’s that simple!
Redirecting automations from the previous colleague
Automations allow members to streamline their work and make sure they are up to date with everything going on on their Boards. When a member leaves, changing ownership of these automations will help maintain the status quo. To do this, go to your admin page, select the Users tab on the left side of the page, and then select the Automation ownership tab at the top of the page. You can select the current automation owner and set yourself as the new owner.

Transfer ownership of integrations
Our integrations allow you to seamlessly connect monday.com to external platforms. Before an employee leaves, you can transfer their integrations to another member. You will be prompted to do this during the associate deactivation process:

All connections to integrations will be canceled. The integrations will remain in place. The new user will be able to re-enable the automations with their credentials:

You can see which integrations are in use on a particular board and re-enable them by selecting the Integrations icon at the top of the board, and selecting the Board Integrations tab:

Enterprise account holders can also contact their success team for a list of integrations in their account. You also have the option to use a service account for critical integrations to avoid linking to a specific user. A service account creates a user in the system that is never deleted., since it is not a real employee account. This ensures that these integrations will be active even when an employee leaves your team.
Change ownership of Dashboards
You can find all the Dashboards created by a member by going to your admin area and selecting the Content directory tab on the left. From here, using the filters feature, you can search for all the Dashboards where the departing employee is the owner. Once you have the list, open one of the Dashboards, go to the Share icon in the top left corner, and set yourself as the owner.
Changing ownership is only possible if you are a member of that Dashboard. Therefore, as an administrator, it is important to be a member of the various Boards and Dashboards in your account.

Disabling the departing employee
As an administrator, the final step in the departure process is to deactivate the user on your account. After the disablement, the user will not be able to log in to the monday.com account they were previously part of.
Before you confirm the deactivation, a message will appear to let you know that all of the user’s automations and integrations will be deleted after deactivation. This is a reminder to complete the previous steps in this article to ensure that these items are transferred to your ownership.
