Using the Update Section on monday.com: How to Communicate on Boards

The Updates Section allows you and your team to communicate in a social network-like manner within an item, keeping all conversations around a specific task or project in one place and in the right context. Continue reading this article to learn about everything you can do with the Updates Section!

Communicate with your team

By @mentioning a person or, if you’ve created teams on your account, @mentioning a team, you’ll ensure that the right people see your feed. Once mentioned, team members will receive a notification in their notification bell.

To make an @mention, simply click the “@ Mention” button, or type the “@” symbol and select a team or team member from the drop-down menu.

Please note: Users on accounts with more than 5,000 seats cannot make “Everyone on this account” mentions. For accounts with fewer than 5,000 seats, When mentioning “@everyone”, Only users who have subscribed to the item or sub-items will receive a notification. If you have only subscribed to sub-items, you will not receive notifications about mentions of the item.

Like and reply

Team members can respond to updates and replies with a like or emoji, making responses more personal and effective. They can also choose to respond with GIFs, files, emojis, and mentions!

The “seen” eye icon below your feed will appear when someone has viewed your feed. By hovering over the icon, you can see who has viewed the feed. However, in the replies section below, the eye icon is always there and is not dependent on whether someone has viewed the reply.

When you use an @ mention in the replies section of an update, the message won’t appear in your inbox. You can learn more about communicating with your team using monday.com here.

Please note: Currently, you cannot recover deleted messages from the feed or information boxes.

Format your text

You can style your text with all kinds of special effects and colors! Outline, underline, or engrave your text! You can even change the color or highlight your text, like we did below:

Don’t forget your text size, when things need a little emphasis!

Please note: There is a character limit of 46,000 characters per update.

GIFs and images

Add GIFs and dynamic images to your updates and replies! Add some emojis to spice up your updates with some style! You can copy and paste an image from your clipboard into your feed anywhere you want within the text! If you want to move it, you can simply drag it to the right place within your feed!

Want to resize the image? Hover over one of the corners until the arrow appears and simply drag to resize!

Upload files

You can upload documents from your computer, Google Drive, Dropbox, or Box.com for an update or reply. Just click “Add Files” and select the source!

Add a checklist

You can add a checklist to the update to add another layer of information to your items! Click “Checklist” to import the checklist structure. When you complete a task, you can click the bubble to mark it on your list!

Tip: There’s no need to edit the post, you can check things off your list while viewing updates.

Set reminders for updates automatically

Do you have an update you need to be reminded of later in the day? Are you busy in a meeting right now and want to be notified about a specific update later? To set a reminder for an update, simply click the bell icon in the top right corner of each update and select the time you would like to be reminded of it.

Once the time comes, you will receive a notification on the bell reminding you of the update!

Trigger important updates

If you need to keep a particular update at the top of your feed, all you have to do is pin it to the top! Once you pin the update, it will stay there, even when your team adds more updates to that feed. Just click the arrow in the top right corner of the update and select “Pin to Top,” like in this image:

Save post to favorites

Like an old-fashioned pinboard, you can save an important post for frequent reference! Or think of it as a “favorite” post. Just click the arrow in the top right corner of the feed and select “Save,” like in this image:

Once you save your post, you can find it in your inbox.

Share updates

If you want to share an update with someone who isn’t on your account, you can send it via email! Simply click the arrow in the top right corner of the update and select “Share Update.” Then, simply type your colleague’s email address in the window that appears and click “Send”!

Blue and gray updates

You may notice that some of the update icons on your dashboard are gray, while others appear blue!

When the feed icon is gray, it means that no one has posted new updates for more than 7 days. When your feed icon is blue, it means that this feed has updates that were posted in the last 7 days. This way you can keep track of which items have been active recently and which have been quiet recently.

Tip: If you want to communicate with all board members, about the entire board and not a specific item, you can use Board Discussions!
