With so many ways to organize your workflow within monday.com, we want to make sure you’re taking advantage of all of them. Instead of adding all of your workflows into one big place, we want to show you how you can organize everything in a systematic way. Let’s walk through all of the levels of organization within monday.com.

Hierarchy structure

The highest level of hierarchy in the monday.com system is the Workspace. All Boards, Dashboards, and Jobs are required to be created in one of your account’s Workspaces. Within a Workspace, you can choose to add folders and even subfolders to better categorize your work. We’ll also go over how your work is organized within Boards, Dashboards, and Jobs.

Work environments

Every board, dashboard, or task you need in your system must be created within a Workspace. By default, a new account is created with a single workspace called the “Main Workspace,” which is shared across the entire account. You can start adding new workspaces as needed to organize by department, team, or even project.

Tip: Workspaces can be “open” or “closed” to promote privacy or transparency when needed.

Folders

Keeping all your boards, dashboards, and related analytics in one place can quickly become cluttered and unorganized. To avoid this, we recommend adding folders within your workspaces! You can use them to sort department data into folders for each team or to group all data related to one project.

Subfolders

To organize your folders a step further, we offer the option to add subfolders. Subfolders are simply folders created within an existing folder. For example, you could create a subfolder called “Reports” to store all dashboards related to one project or all boards related to a specific dashboard!

Boards

Boards, along with dashboards and workdocs, are the final level of monday.com’s hierarchical structure. This is where work gets done, not where it’s stored, as in the previous structures discussed in this article. But the hierarchy doesn’t end there; Boards have their own hierarchy as well.

What is the hierarchy in my Boards system?
  • Groups

Groups allow you to categorize the items on your board into color-coded areas. A group can represent anything from a week, a month, a specific phase of a project, a client, or anything else that might meet your team’s needs.

  • Items

An item is an individual row in a group on your board. An item can be anything you want, and it will create the context for your board. They can represent anything from a project list, to weekly tasks, clients, locations, or any other aspect of your workflow.

  • Columns

Columns are one of the key building blocks of your board, allowing you to view and modify the data from your workflows. They organize your data by giving you a unique place to fill in each detail of your item. Take a look at this list to see the dozens of columns we offer!

  • Sub-items

Subitems can be added to each item to add another layer of organization without losing the structure of your board.

Tip: It’s important to clean out your account from time to time! If you find it difficult to track down the deletions of unused Boards, dashboards, or workdocs, you can archive them so that you can restore them later.

Dashboards

Dashboards aggregate data from multiple boards to create visual displays using widgets. You can choose from over 30 available widgets to customize your dashboards to best suit your team. They are a great tool for reporting, tracking and setting goals, creating summaries, and increasing productivity!

In dashboards, widgets add that extra layer of organization by keeping the data on topic within each widget. For example, a calendar widget helps you look at important dates, while a numbers widget shows the summary or average of the data you’re trying to track!

Tip: If you’re looking for a Dashboard to display data from just one Board, you can add a Single-Board Dashboard directly to your Board in the form of a Board View.

Workdocs

Workdocs on Monday are Flexible, multimedia workboards where you and your team can jot down all the notes and ideas related to one central topic. By adding individual components to your workdoc, all your thoughts and ideas can come together in one place, right inside the monday.com system, where all the rest of your work is stored.

The hierarchy within workdocs is “components.” These can be widgets, lines of text, and even Boards or embedded items!
