Managing permissions on monday.com: Understanding permission types

Bboard permissions and restrictions

At the Bboard level, the type of Bboard you use allows you to limit who on your account can view your Bboard, while Bboard permissions determine the viewing or editing ability other users have on the Bboard itself. Let’s learn about both of these options below.

Bboard types

Here at Mandy.com, we offer three different types of Bboard: a Main Bboard, a Shared Bboard, and a Private Bboard. While they all have the same type of structure, the difference between them lies in the levels of accessibility they offer. A Main Bboard is the one that is public to everyone who is a team member on your account. Any Main Bboard you create will automatically be visible and accessible to all your team members. A Shared Bboard is used when you want to share a Bboard with people outside your organization, such as clients, students, or freelancers. You can invite these people as guests within your account, and only those you invite to that Bboard will be able to access it. A Private Bboard is visible only to the person who created the Bboard and the specific users they invite to that Bboard. Private Bboards are for internal use only, meaning you cannot invite guests; only team members can invite. Note: Shared Bboards are available in the Standard plan and above and Private Bboards are available in the Pro plan and above.

Bboard permissions and restrictions

Within each Bboard, Bboard owners can control what information can be changed or seen by other Bboard members. Bboard permissions are found by clicking the three-dot menu in the top right corner of your Bboard and selecting Permissions. There are a number of different configuration options in the Bboard settings that are separated into two categories: Viewing Permissions and Editing Permissions. The settings under the Viewing Permissions category allow you to adjust who can see what on your Bboard, and the Editing Permissions settings allow you to adjust who can edit what on your Bboard.

Column permissions

With column permissions, Bboard owners get the ability to control which columns can be seen or edited by others on Bboard. This is especially helpful if you have sensitive information that you don’t want some users to see or change! To find column permissions, click the three-dot menu next to the column name, then Settings and choose to restrict editing or viewing of the column. With column restrictions, you can:

  • Restrict column editing: This permission allows you to limit column editing ability to only the Bboard owners and other specific people you choose.
  • Restrict column viewing: With this restriction, you can limit the viewing accessibility of columns on your Bboard to only the Bboard owners or other specific people you choose. All other users will not see the restricted column.

Note: Column permissions are only available in the Pro and Empire plans.

Dashboard permissions

Moving on to granting permissions beyond the Bboard level, dashboard permissions or restrictions provide dashboard owners with control over what information can be viewed or changed at the dashboard level. You can adjust dashboard restrictions in two ways:

  • Defining the dashboard type
  • Dashboard Owner Management

Dashboard types

Unlike Bboards, main dashboards and private dashboards are the only two types we offer. Like Bboards, main dashboards can be viewed and edited by any team member on your account, and private dashboards are only visible to those who the dashboard owner chooses to subscribe to. This permission can be set when creating a dashboard, or by changing the dashboard type via the three-dot menu in the top right corner of an existing dashboard.

Dashboard ownership

When it comes to restricting dashboard editing, only dashboard owners can edit the dashboard and the apps and widgets within it. To find dashboard owners, click the share button at the top of the dashboard and click Dashboard Members: By default, the person who created the Bboard is automatically a dashboard owner (indicated by a pink crown next to their name). To add more dashboard owners, the dashboard owner can click the gray crown icon next to the subscriber’s name to turn it pink, allowing them to edit the dashboard as well!

Note: The next two sections (Workplace permissions and Account permissions) are only relevant to advanced accounts.

Workplace permissions

When it comes to workspaces, in the Enterprise plan, you can also limit who can see the content within the workspace as well as determine which actions can be performed by which team members in that workspace.

Types of workplace

We offer two types of workspaces on Enterprise accounts; open and closed workspaces. Any team member can choose to join any open workspace they want. Closed workspaces, on the other hand, are private and only accessible to the person who created them. Team members can join by invitation or by requesting to join. You may now be wondering, “Which Bboards will be available to team members within a workspace?” That’s a great question to think about! Any user with access to a specific workspace will be able to access all of its primary Bboards, and only the specific shared or private Bboards they have already been invited to. However, a user without access to a closed workspace will not be able to access any of its Bboards, regardless of whether they are primary Bboards or not. If a team member subscribes to a board from a closed workspace, they will only be able to access that Bboard and will not be able to see anything else in the workspace.

Workplace permissions

With Workplace Permissions, Workplace Owners can determine who can perform certain actions within the Workplace (based on the user’s role in the Office) such as creating new Bboards, setting up automations, and creating dashboards. To find Workplace Permissions, click on the Office Home page and select the “Permissions” tab as shown below.

Account permissions

Stay in control of who can do what at the account level by setting account permissions. This permission type allows the account administrator to easily manage who can use certain features! Note: You cannot update workplace permissions in the Mandi mobile app. Permissions can only be updated in the web browser. That’s it!
