With the Aircall app, you can automatically track conversations on your boards and instantly display important information from your Aircall app within monday.com whenever you make or receive calls. Read on to learn all about it! ⬇️

Installing the app

To use the Aircall app, you will need to install it on your account as well as the Aircall Calls dashboard template. This template works in conjunction with the app to allow you to easily manage and track your calls on monday.com!

To get started, go to the Monday Market and search for “Aircall” and select it once you find it. Then, click the blue “Install App” button to complete the app installation. Untitled design (47).gif

Now, to add the Aircall “Calls” dashboard template to your account, click the “Use App” button and then click the “Add to Workspace” button. Clicking this will allow you to select the specific workspace to which the template will be added. Screenshot 2024-06-21 at 21.02.46 1.png

You can also add the Aircall “Calls” dashboard template directly from the Template Center if you already have the Aircall app installed on your account.

Tip: We recommend using the Aircall app as part of the monday CRM product so you can streamline all your sales and CRM processes!

How to set it up

To use the Aircall app, you will need two panels: the Aircall “Calls” panel (which is the panel you added in the previous step) and a second panel where the phone numbers are stored.

For your second board (a board for phone numbers), depending on your team’s function and existing workflow, you may already have a board that serves this purpose. If not, you can easily create a “Contacts” board using our ready-made templates! Just search for “contacts” in the template store and click to add it to your account. Group 64 (45).png

Once you have these boards, you will need to connect the Aircall “Calls” board to the board containing your phone numbers (or the “Contacts” board or another existing board containing phone numbers). This can be done by adding a Connect Boards column to the “Calls” board and then selecting the “Contacts” board, or another board of yours containing phone numbers. download (7).gif

Note: Make sure you check the box next to “Create a two-way connection” to also add the Connect Boards column to the “Contacts” board. This will allow full use of the Aircall app.

Once connected, you can use the Mirror column to sync information between your Aircall “Calls” dashboard and any other dashboard you choose. This means you can take important call information from your Aircall “Calls” dashboard—results, tags, recordings, and more—and mirror that information across any other dashboard in your account.

Using combinations to create insight cards

Now that your boards are ready, the next step is to integrate them with Aircall. To do this, go to your phone call dashboard and find the “Integration” button at the top of your screen. Then, search for and click on “Aircall Recipes” as shown below, where you will find separate recipes for insight cards and call logging. download (9).gif

Tip: An insight card is a pop-up screen that appears in the Aircall app when you receive an incoming call. It contains any information you choose to include—contact name, role, email, status, etc.—so you can talk about calls in context and detail conversations instantly.

You will need to combine the Insight Card recipe (detailed below) with the board containing your phone numbers. This recipe will be used to create Insight Cards, which will route contact information from monday.com to your Aircall phone when you receive an incoming call . Group 64 (46).png

Please note: Only calls from Aircall numbers you have added to the integration will work here. If you need to add or remove numbers in the future, you can do so directly in the Aircall dashboard by going to the Integrations page, clicking on the monday.com integration, and selecting “Add or Remove Numbers.”

You will then be asked to select the column in your board that contains the phone numbers, which can be any phone column, and select two columns of information to push to your insight cards.

In our example, we chose to display the company and email of each contact. With these choices, the insight card will look like this :

Feel free to add as many insight card recipes as you need if you want more than two pieces of information for each call, or if you want to search multiple columns for phone numbers (such as: searching both work and mobile phone numbers)!

Please note: Your connection numbers must be entered in E.164 format (country code and subscriber number including area code) , as this is the only recommended format for completing the integration.

Using call recording integrations

To log calls on monday.com, you will first need to open the Aircall “Calls” dashboard. Then, go to the Automation Center, search for the Aircall app, and click “Add to Dashboard” on the second recipe as detailed below. Group 64 (47).png

Note: Please make sure your Aircall call panel is connected to the panel containing the phone numbers before proceeding with this recipe.

You will be asked to choose how your Aircall information is described in the columns of the Aircall “Calls” panel, which columns in the Aircall “Calls” panel you would like the calls to be linked to, and which panel you would like the calls to be linked to.

When mapping Aircall information to your “Calls” panel, you will have the following fields from Aircall as options:

Show me the information fields available from Aircall
  • Aircall Agent Email → The email of the Aircall user who made or received the call, as stored in Aircall
  • Aircall Agent Name → The name of the Aircall user who made or received the call, as stored in Aircall
  • Aircall Call Direction → Call Direction (Incoming or Outgoing)
  • Aircall Caller ID → A unique identifier provided for each call
  • Aircall Call Result → Call result determined by Aircall: Incoming call answered, missed, voicemail, Outgoing call answered, missed
  • Aircall Call Status → Call Status
  • Aircall line name → The name of the Aircall number that made/received the call
  • Aircall line number → The Aircall number that made/received the call
  • Notes → The notes left about the call on Aircall
  • External number → The actual number that made/received the call from/to Aircall
  • Tags → The tags applied to the call in Aircall
  • The call was answered at → The date and time the call was answered.
  • The call ended at → the date and time the call was disconnected.
  • Call started at → The date and time the call first occurred.
  • Link to assets → The link to the recording that contains either the call recording or the voicemail

After you define your combination recipe and click add it to your board, every time a call occurs, it will immediately call the current board and interface with the board you selected.

A few important things to note:

  1. While you can map the information any way you like, we highly recommend making sure to link:

    1. Comments for the comments column
    2. Tags for the tag column
    3. Link to assets for the recordings/voicemail column
  2. All of your text columns will allow you to map multiple Aircall fields.

This way, all notes, tags, and recordings in Aircall will be recorded in a precise place on your board. For a comprehensive guide on mapping fields, please follow this guide:

View conversations

Once you’ve added the combination recipes to the appropriate boards, you’re ready to start using the Aircall app!To see your conversations, we recommend opening an item card for a specific contact where you can see all incoming and outgoing calls with that contact:

Tip: While the Aircall conversation board is great for use as a conversation storage, viewing conversations in a contact’s item card is an effective way to utilize conversation data, as it provides a comprehensive timeline of interactions with that contact.

If you are using the Contacts board, it is highly recommended to link your boards via the Connect Boards column as suggested previously so that you can have a centralized view of all your conversations with contacts via the item card column.

Now, with the Aircall app in place, if you want to see a list of all your incoming and outgoing calls, you can see them in the Aircall “Calls” panel as shown below:
