On sharing boards

Shared boards are boards that you can share with external users (guests) such as contractors, clients, freelancers, lawyers, graphic designers, etc. This allows you to collaborate on specific projects with external users without giving them access to your full account, which helps you track their progress and yours.

How to create a shared board

To create a shared board, click the + icon located on the top left side of the screen and select “New Board.”

Then, you can choose whether the board you want to create will be a main board, a shared board, or a private board.

Why is this useful?

Similar to private boards, shared boards are only visible to their subscribers, whether they are company members or guests. The idea behind shared boards is that you can share projects with external guests without giving them access to your full account.

How to work with Shared Boards on monday.com Note: Organization plan administrators will be able to see high-level details about the shared board, such as its name, subscribers, and creation date, through the Content Guide.

Your guests will only see the shared boards you’ve shared with them and won’t see any other boards. Here’s an example of what a guest account looks like:

Which plan has shared boards?

Shared boards are available on the Standard plan. With this plan, you can invite up to three guests for free. The fourth guest will be considered a user on your paid plan.

Request access to a shared board

If you encounter a shared board that you do not have access to, you will see the error message below. To request immediate access to the shared board, you can click the blue “Request Access” button as shown below:

Clicking this button will send a message to all board owners of this shared board, showing that you have requested access. Upon clicking the message, the board owners will be redirected to the subscriptions page to grant you access to the shared board if they wish.

Change the board type

As the board administrator, you can change your board from a shared board to a private board or a main board. Simply click the three-dot menu in the top right corner of your board and then select “Board Settings.” From there, click “Change Board Type” and then select the board type you want to change to.
