How to work with Monday AI columns and optimize your boards

Monday AI

monday AI is an integration of artificial intelligence technology into the monday.com platform. All tools that use monday AI are built internally at monday.com by multiple teams on a shared infrastructure.

Who can use Monday AI?

When a user interacts with Monday AI for the first time, if Monday AI has not been approved for their account, they will need to request approval from their administrator. When a request is made, the administrator will receive an email. To use Monday AI, the administrator must agree to the Monday AI Terms of Service. This process happens differently for Enterprise users.

Note: The terms of service for this tool are different from the general terms of use of the platform. Please read the monday AI terms of service before adding monday AI to your account.

The administrator can also disable Monday AI on the account via the admin screen. To learn how to do this, please visit the “How to Disable Monday AI” article in the “Getting Started with Monday AI” article.

How does Monday AI work with columns?

We’ve combined the power of monday AI with some of our most popular columns to allow you to automatically run monday AI on your dashboard. At this time, monday AI can work with a text column, a dropdown column, and a status column.

Useful example: If you have a text column with long task descriptions, use the “Enhance Text” action to make sure the text is clear and professional. This can improve communication within your team.

When Monday AI is enabled on a column, you’ll see an icon on the right side of the column header:

Text column

To enable Monday AI on a column of text, open the three-dot menu to the right of the column header. From the menu, select “Fill with AI”:

In the next window, you can choose an action for AI:

  • Summarize
  • Enhance text
  • emotion
  • Customized block
  • Translate

Each AI action will be displayed with different options for the second submenu.

Summarize

When you select “Summarize”, the second submenu will allow you to choose what text you want to summarize. Currently, the options are “Item Name”, “Item Conversation”, or any other text column in the panel:

  • Item name. If you select “Item name”, when a new item is discovered, Monday AI will summarize the text in the Item name field.
  • Item conversation. If you select “Item conversation”, monday AI will summarize the text in the feed when a new update is posted in the feed. monday AI will continue to update the summary continuously with each new comment in the feed until disabled.

Enhance text

When you use monday AI’s “Enhance Text” action, monday AI will enhance the selected text, aiming to give it a professional look and better presentation. It’s also a grammar checker!

When you select “Enhance Text”, the second submenu will allow you to choose which text you want to enhance. Currently, the options are “Item Name” or any other text column in the panel.

  • Item name. If you select “Item name”, when a new item is discovered, monday AI will enhance the text in the Item name field and fill it in the text column using monday AI.
  • Any other text column. If you select a text column, monday AI will summarize the selected text in the text column using monday AI.

emotion

The “emotion” action asks Monday AI to interpret the emotion of a particular text and, in this case, output the interpretation to a text column.

When you select “Emotion,” the second submenu will allow you to choose what text you want monday AI to interpret. Currently, the options are “Item Name” or any other text column in the board.

  • Item name. If you select “Item name”, when a new item is discovered, monday AI will read the text in the “Item name” field, interpret it, and fill in the text column with its interpretation.
  • Any other column of text. If you select a column of text, monday AI will interpret the sentiment of the selected text and output the interpretation in the text column.

The “Customize” action allows you to give instructions to monday AI. In your instructions, you can refer to any column on your board. monday AI will produce output according to your specifications in a text column.

To achieve the best results:

  • Use clear instructions, leaving no room for misunderstandings.
  • Make sure you select the columns most relevant to the task.
  • Try experimenting with different commands on a small scale before applying them to the entire board.

Let’s see an example, I asked Monday AI: “Read {item name} and determine if the item is important to read immediately or if it can wait until later.” Fill in the text column with your decision.

When I entered the following text: “I really like classic songs like “Blackbird” by John Lennon and Paul McCartney.” Monday AI returned the following decision: “That can wait until later.”

Translate

The “Translate” action asks Monday AI to translate specific text and, in this case, output the translation to a text column.

When you select “Translate,” the second submenu will allow you to choose what text you want Monday AI to translate. Currently, the options are “Item Name” or any other text column in the panel.

  • Item name. If you select “Item name”, when a new item is discovered, monday AI will read the text in the “Item name” field, interpret it, and fill in the text column with its interpretation.
  • Any other text column. If you select a text column, monday AI will interpret the sentiment of the selected text and output the interpretation in the text column.

The third submenu will allow you to choose which language you would like Monday AI to translate the text into. The options are:

  • English
  • Spanish
  • French
  • German
  • Hebrew
  • Chinese
  • Korean

Tips

Some tips for successfully using AI with a text column:

  • Monday AI understands English best
  • The text entered should be clear and concise for best results.
  • The text entered must include relevant context to get an accurate summary.
  • When using “Translate”, you will get the best results if your target language is “English”
  • When using “emotion”, if the emotion is unclear, Monday AI’s response will be “Unknown”

Status column

To enable Monday AI on a status column, open the three-dot menu to the right of the column header. From the menu, select “Fill with AI”:

In the next window, you can choose an action for AI. With a status column, “Category” is the only action available.

The “Category” action asks Monday AI to read text and choose from the available tags you created for your status column. It will then apply the tag to the status column.

When you select “Category,” the second submenu will allow you to choose what text you want Monday AI to read. Currently, the options are “Item Name” or any other text column in the panel.

  • Item Name. If you select “Item Name”, when a new item is discovered, monday AI will read the text in the “Item Name” field, categorize it, and change the status column label to reflect its selection.
  • Any other text column. If you select a column of text, monday AI will read the selected text, select a category, and change the status column labeling to reflect its selection.

Some tips for successfully using AI with a status column:

  • Try to use 3-10 easy-to-understand tags
  • Make sure your tags are different from each other
  • Make sure the text you enter contains enough information for monday AI to use.

Dropdown column

To enable Monday AI on a Dropdown column, open the three-dot menu to the right of the column header. From the menu, select “Fill with AI”:

  • Item Name. If you select “Item Name”, when a new item is discovered, monday AI will read the text in the “Item Name” field, categorize it, and change the dropdown column labeling to reflect its selection.
  • Any other text column. If you select a text column, monday AI will read the selected text, select a category, and change the dropdown column labeling to reflect its selection.

  • Try to use 3-10 easy-to-understand tags
  • Make sure your tags are different from each other
  • Make sure the text you enter contains enough information for monday AI to use.

Disabling Monday AI columns

To disable monday AI on any column:

  • Open the column menu using the three dots that appear to the right of the column header when you hover your mouse over it.
  • Open the menu and select “Fill with AI”
  • Select “Disable AI” in the bottom left corner
