How to use the Timeline View and widget Available in Standard, Pro, and Enterprise plans

Looking for a new and neat way to keep track of all your due tasks? The ZTimeline view and Widget work together with the Timeline column to Give you a visual representation of the times and deadlines for all your projects. This allows you to easily see the time available for you and your team to complete a task or project and plan accordingly.

How does it work?

To use the Timeline view or Widget, you must have one of the time-based columns on your board.

How to use the Timeline View and widget

See which columns are required for the Timeline
The Timeline and Widget view work when your board has one or more of the following columns:

  • Timeline column
  • The Date column
  • Week column

You have the option to view View your Timeline through a single board view or view multiple TimeLines simultaneously on the same Dashboard. With Dashboards, you can see the TimeLines of multiple projects in one place while the board view allows you to see the Timeline of one specific project.

Add the Timeline view to the board

To add the Timeline view to your board, click theHow to use the Timeline View and widget located at the top of your board (it will say “Add View” when you hover over it) and select “More Views” from the drop-down menu:

Then, select “Timeline”.

Tip: Want to set Timeline as your default board view? Click the dot menu next to “Timeline” in the board view category and select “Set as default on board” from the drop-down menu. To learn more about the board default settings, see the “Board Defaults” section of this article.

Add the Timeline Widget to your Dashboard

Once you have selected the boards you want to display, click “Add Widget” at the top of the Dashboard page and then “Widget Center.” Once you are in the Widget Center, click “Timeline.”

Settings and customization

Customize your Timeline so you can visualize your project in the way that works best for you! Click the dot menu at the top right of the view or widget and select “Settings” from the drop-down menu to access customization options:

  • Select time columns

Choose which time columns you want to display on your Timeline. For example, if you have more than one Timeline column, Date column, or Week column, you can select the specific columns you want to display:

Tip: Subitems are now supported in both the Timeline view and the Widget! Choose which subitem columns you want to display in the “Select Timeline Columns” section in the settings.
  • Group the Timeline bars

Here you have the option to organize the items on your Timeline however you want! You can group them by some of the columns on your board or by the groups on your board! This can help you manage your tasks, resources or simply give you a visual overview of the overall situation.

Once you’ve chosen how you’d like to see the items on your Timeline grouped, you can customize it even further by collapsing and expanding certain groups! Simply click on the group to collapse it, then click again when you want to expand it!

  • Color your items however you like.

Visualize your Timeline according to your color preferences! Go to “Color By” in the settings menu to color items by group, column, board, or add no color at all. The colors shown are the colors you’ve already selected for your board’s main table view.

Tip: Include a color legend at the bottom of your Timeline so you can see what each color corresponds to to clearly understand the visualization. Check “Show Color Legend” under “Display Settings” in the settings menu.

Adjusting time and date

  • Select a time range

You can choose to view the items on your Timeline by days, weeks, months, quarters, or years. Click the drop-down menu at the top right of your screen to select a time scale. You can also use the ‘+’ and ‘-‘ buttons to zoom in and out on any time scale.

remark: You can choose whether or not to show weekends on your Timeline. For more information about this setting, read our article on the Timeline column.
  • Set workdays and weekends

You will be able to Choose whether you want your Timeline to show Sunday or Monday as the first day of the week! Click “Edit” next to “Set work days” in the settings panel to go to your account’s weekday settings. Check out this article to learn more about this.

Note: Only the account administrator can set workdays and weekends and this setting will be applied across the entire account.
  • Show indication of current day

The blue bar running along the length of your board indicates the current date. This is a great reference point so you always know where you stand compared to the start and end dates on your Timeline. You can remove the blue bar by unchecking “Show current day indication” as shown in the image above.

Include milestones

Milestones are important dates, not a range of dates related to a task or event. To set a milestone to appear on your Timeline, simply select one date and click “Set as Milestone” at the bottom of your calendar pop-up window (as shown below). Milestones will appear as diamonds on your Timeline and will be colored according to the item’s status label.

In your main table view, the milestone will appear with a colored diamond on the left representing the group it belongs to. If your column is set to due date mode, the diamond will be the color that represents the status of the item. That is, if the item was completed on time, the stone will be green, and if it was rejected, it will appear red.

Note: Milestones are only available from the Pro plan and above.

Update your items directly from the view or widget

Simply click on any bar in the Timeline view or Widget to open the item card. From here you can make changes and updates without having to go back to your board’s main view window. These changes will also be updated on your board!

Tip: Need to move the dates of items on your Timeline? It’s easy! You can select the items you want and move all of their timelines by any number of days you want.

Filter your Timeline

You can filter your Timeline to show only the information you want to see! Filters can be temporary or saved for future reference. Click the floating filter icon at the top of the screen, then select all the filters you want to use. You can filter using Advanced or Quick Filters.

Tip: The number next to the filter icon represents the number of filters currently applied to your Timeline. If you feel like you’re missing items, you probably have a filter applied, so make sure you check the icon to be sure!

Check the Gantt

If you love Timeline, you’ll love Gantt and Widget views just as much as we do! It’s similar to Timeline in that your items are displayed across a calendar in the form of bars, but Gantt and Widget views show your items in a waterfall diagram that drills down into all sorts of deeper visuals. Gantt is a complex and fully customizable tool that works flexibly with your project!
