There are lots of different ways to navigate between groups, items, and sub-items within your board, and of course between different boards! Read on to learn all the tips and tricks that will make you a pro!

Move an item to another board

There are three different ways to move an item to another board! You can do the move via the item menu, using group actions, or using automations! Let’s take a look at each method!

Please note: When moving items linked to third-party apps through the integration column, the connection will be broken. This means that when that item is moved to another board, it will no longer be connected to the integration that was set up in the original board.
  • Using the item menu

To move an item to another board using the item menu, click the three-dot menu on the left side of the item to open the item menu. From there, click ‘Move to Board’ and a list of all our boards will appear! You can scroll through the list until you find the appropriate board or simply type its name in the search bar for convenience!

Note: If you want to move an item or group to another board, make sure that there are the same columns in both boards ; otherwise, you will lose your information! If you have already moved the item – don’t worry, it is not lost forever! Check the end of this article to see how to recover lost information.

Once you’ve selected the appropriate board to send the item to, a list of all the groups in the target board will appear. All we have to do is select the group we want to send the item to, and it will jump to its new board!

Please note: When moving items to another board that has a board link column, you must link the exact same boards via the column settings of both boards for the information to transfer properly.
  • Group actions

Two of our candidates have passed all the interview stages and are ready to start the training process at our company! Let’s move our new employees from the recruitment board to the training board in their department through group actions!

To do this, select the appropriate items from the left side. Then, click “Move to” at the bottom of the screen and then “Move to clipboard.” When the menu appears, we can select the board to which we want to send the items, in our case the “New Employee Training” board.

Within the selected target board, we can select the appropriate group for the items that need to be moved from the menu.

When moving items from one board to another, you will be prompted to define where the column information will go based on the columns in your destination board, as shown below:

For certain columns in your current table that do not match a column in the target table, such as “Department”, you will be prompted to select a different column or create a new column in the target table to which the information will be transferred:

In our case, the columns we have in our target table hold all the information we need to transfer, so we’ll simply click “Move Items”.

Clicking this button will transfer the information from our six columns to the “New Employee Training” table, but first we will receive a warning message that the information from the three undefined columns will be deleted during the transfer:

Don’t worry if you accidentally deleted data while transferring from one disk to another by clicking ‘Move Items Anyway’, as it can be recovered! We’ll talk about how to do this in the ” How to Recover Lost Information ” section towards the end of this article.

Tip: If you are moving items with sub-items, they will be moved together automatically! Just make sure you set up the column information for the sub-items the same as you did for the main item.
  • Automations

Although it is very easy to move items using the quick methods we have discussed in this article, sometimes we have certain rules regarding the movements of our items that remain fixed over time or depend on certain circumstances. In such cases, automations are our best friends!

There’s an entire area in the Automation Center dedicated to moving items! You can use automations to move items to other groups on your board or even to other boards!

How to move an item to another group

There are 3 ways to move an item to another group on our board! We can move an item using the item menu, group actions, or drag and drop!

  • Using the item menu

In our recruiting dashboard, each item represents a candidate and each group represents a stage in the interview process. As a candidate passes a stage, they move on to the next group. Let’s try to move James from the resume review stage to the HR interview stage using the selection method!

Just like moving an item to another board, we’ll start by clicking on the item’s menu, “Move to” and then “Move to Group.” Then, a new menu will appear on the right with all the groups on the board. Once we select the group we want to move the item to, the item will jump to its new group!

  • Group actions

Two of our candidates had excellent resumes and are moving on to the first interview stage! Let’s get them both through at the same time using group actions!

We simply click on the light next to each item we want to move and then we can see how many items we have selected at the bottom of the screen along with a group actions menu! From this menu, we can select “Move to” and then select “Move to group” just like this:

A menu will appear, allowing us to select the group we want to send our items to. When we click on the group, our item will be moved! Check out this article to find out more about group actions!

  • Drag and drop

It’s really easy to drag and drop an item from one group to another by clicking and holding an item while moving your mouse over the target group before releasing!

How to move a group to another board

To move a group to another board, simply click on the group menu (the three-dot menu to the left of the group name). Then, click on “Move to” and “Move to board” and select the target board from the resulting menu!

Remember: Make sure your target table contains the same columns as your original table so that all your information is transferred correctly! If your columns don’t match, you’ll get a message like this:

How to move a group within a board

The method we use to move a group within a board is the drag and drop method! We decided to change the order of our interview process. In order to keep our board in chronological order according to the interview stages, we want to change the order of our groups!

All you have to do is click on a group name, hold and drag to the desired location before releasing! Check out this quick animation to see how it’s done:

How to recover lost information

What happens if you move an item to a board that doesn’t have the same columns as the previous board the item was in and you lose some of your information? Is it lost forever? Of course not! Don’t worry – we can return it!

Access your activity log by clicking “Activity” in the top right corner of your dashboard. As we can see here in our activity log, we have moved Alfred Taylor to the “New Employee Training” board. All we have to do is click “Cancel” and the item will be returned to its original board as it was before the move!

Please note: When an item is moved to another board, the activity log will not be transferred. To find the historical data for the item, access the activity log in the original board from which the item was moved.
