Uploading files to monday.com

Note: Unlike other integrations, there is no need to set up Google Drive, Dropbox, Box.com, or OneDrive in the Integration Center.

There are four ways to upload files and documents on monday.com:

  • The Updates section
  • The status box
  • The file column
  • File Gallery

Let’s review each of them!

1. Updates section

Click the speech bubble icon on any item to see the updates section as shown below. Then, click “Add Files” in the bottom left corner of the updates box and select the file you want to upload from your computer, Google Drive, Dropbox, Box, or OneDrive & SharePoint.

Note: If you are having trouble connecting to your Google Drive account, try clearing your cache and allowing third-party cookies. Google Drive does not support the Edge browser. Team Drive is not yet supported.

If you made a mistake and want to delete and/or edit the post, select the arrow on the right side of the feed and choose “Edit feed” or “Delete feed for everyone,” depending on your preference.

Note: Your updates and files will continue to drop down on your page as you add new ones to your feed. If you want to keep some updates always on top, you can pin your feed. Check out this article for more information!

2. Status box

If you want to add an attachment to a status box in the board, click the “+” sign in the upper right corner of any status label. Then, click “Add Files” in the lower left corner and a drop-down menu will appear to upload a file:

Tip: You can see the files added to the status box instantly if you hover your mouse over the corresponding status label!

3. The file column

The File Column allows you to add files to your board in a column entirely dedicated to all kinds of files. Simply click inside the column cell and choose how to add your file.

  • From your computer/desktop

  • From Google Drive
  • From external platforms like Dropbox, Box, OneDrive & SharePoint

Once your files are added, they will appear as small icons within the column. Hovering over a file will show you a preview of it!

4. File Gallery

The new file gallery lets you see all of an item’s files (from the files column and/or the updates section) in an easy-to-use shared view. You can also upload new files directly. See the file gallery by clicking on an item to open the updates section and selecting the “Files” tab. From the file gallery, you can add a new file by clicking “Add File” in the upper left corner.

Note: If you choose to upload a file using this method, it will only be saved in the file gallery. This file will not be accessible from the files column or the updates section of the selected item.

File collaboration and communication

You can comment and interact on any file with the comments feature! Open your files in the file view, file column, or file gallery. From there, you can see comments previously added by your team members and add your own, without having to leave your board!

See all your files in one place

You can see and access all files stored in a single item using the File Gallery , or, you can see all files from your clipboard using the File Gallery view.

Access the file gallery by clicking on an item and selecting the “Files” tab next to the updates section. You can easily scroll through and manage all of the item’s files in a gallery-like view:

As an alternative, use the File Gallery view! This view allows you to see all the files from your clipboard in a centralized, gallery-like view or as a widget within a dashboard!

Downloading files

If you have multiple files uploaded to a single item in the file column, you can download them all at once in a zip file! When you click on any file from the file column or file gallery view, you can click the download icon. From there, you can either click “Download File” to download the single file you are viewing or “Download All as Zip” to download all the files in the item into one zip file.

File permissions

Currently, anyone with access to your board will be able to download and edit files. If you want to keep your files restricted, you can add them in the Files column. Once added, you can set board permissions that only allow board owners to edit the board. Check out this article to learn more about that!

Link views

The account manager can now enable or disable link displays in the feed. You can read how to do this in this article 🙂

Limitations

500MB is the maximum file size for each item. If you find that the files you want to upload are larger than this, you can create a zip file and upload that instead or upload from a Google Drive, Dropbox, Box, or OneDrive group. We currently do not support HTML files. The best way to deal with this would be to compress it and then upload it.

Tip: If you plan to make a lot of edits to your file, you might want to consider copying and pasting a link from Dropbox, Google Drive, Box, or OneDrive so you don’t have to re-upload the latest version of your document.
