We keep EVERYTHING in our boards; meetings, schedules, tasks, projects, to-do lists, work lines, KPIs, and even some personal stuff! We love having everything in one place, but sometimes it can get a little messy and overwhelming. So, we put together this guide with all of our best tips and tricks to help you keep your account organized!
Sort your cabochon
- Workspaces
Workspaces are a great way to separate the work of different departments or teams. It’s like a big folder, holding related boards, WorkDocs, and dashboards. Within each Workspace, different teams can work on their own boards and folders, while still having access to their department’s boards!
As you can see, our company has several different Workspaces that appear in the left panel of the screen.

You can choose to organize your Workspaces however you want! Sort by project, team member, client, office location or customer, or by period!
- Folders
Below each individual Workspace, teams can add folders to group related boards, WorkDocs, or dashboards together and better organize workflows. Folders add an extra layer of detail and organization and ensure your account is always accessible to your teams.
For example, our marketing department is dealing with several different types of projects at the same time! We created one Workspace for the entire marketing team, but separated their projects into folders, as you can see in the image below.

- Organize your left panel
Now that we have so many different Workspaces and folders, our left panel is starting to look a bit cluttered. A good tip to make it easier on the eyes is to minimize your folders.
Minimize or open a folder simply by clicking on the folder name!

Find what you’re looking for
Sometimes we know exactly what we’re looking for but just can’t find it! Instead of searching through your entire account every time you need to find something, take a look at these shortcuts to help you get there quickly!
- Favorites
Do you have certain boards, dashboards, or WorkDocs that you use frequently and are important to your work? The Favorites option will allow you to select your favorite boards and dashboards to appear at the top of your left panel for quick and easy access! ⭐️
To add something as a favorite, you can click the arrow that appears next to the board name and select the star icon to the right of its title like this:

Now, you can see all your favorite boards, dashboards, and WorkDocs together so you can always find them!

- Search everything
Search All lets you search for anything across all your boards! To get there, just click the magnifying glass icon in the right corner of your screen.

From the Search All area, you can search for a specific update, account member, file, tag, and much more!
- Filter your board list
Limit the number of boards you see in your left panel by using the quick filter or search bar! Hover over the search bar and click the tornado icon to choose which types of boards you’d like to see displayed, or Type the name of the board you’re looking for in the search bar to locate it!

- Quick search
Quick Search is the feature to use to seamlessly navigate through your account content! Instead of scrolling through your folders countless times to find what you’re looking for, Quick Search allows you to easily search and jump from one panel, dashboard, WorkDoc, etc. to another.
To activate the quick search, select the following keys on your keyboard: ” Command + B ” (if you’re using a Mac) or ” Ctrl + B ” (if you’re using a PC). Then, type the name of the board, dashboard, or WorkDoc you want to switch between them in a flash! ⚡️

Clear out anything that isn’t needed.
Do you still keep old items and boards long after they’re in use just in case you need the information in the future? If so, you’ll love the two “Clean” and “Archive” options! Instead of keeping old information, I’ll archive it to clean up your board list or the amount of items on your boards with the option to restore it if you ever need it!

You can archive a board by clicking the three-dot menu in the top right corner of the board and selecting “Archive Board.” You can always delete a board if you’re sure you won’t need it anymore, but we prefer to archive it so we have the option to restore it if we want to!

- To archive an item
To archive an item, hover over the item so that the three-dot menu appears on the left side of the item. Then, click the three-dot menu to open the item’s menu and select “Archive”:

- Automatic for car
You can even organize your items using automations like this:

- Unsubscribe from boards
Do you feel like you’re getting too many updates in your inbox? One way to cut down on this is to unsubscribe from boards you don’t need to see updates from!
Click the “Invite” button at the top of your board to open a list of all board members, then click the “x” next to your name to unsubscribe! Now, you will no longer receive inbox updates from this board!

Limit your messages
Sometimes, we log into our account and feel overwhelmed by tons of notifications and messages from our monday.com email junkies! Check out these solutions to reduce your notifications so you only see the things you need to see!
- Manage your messages
To change your notification settings, click your picture in the top right corner of the screen and then select “My Profile”:

Select the “Notifications” tab and you’ll see a list of all possible notifications, including desktop notifications, email, Slack alerts, and more. You can choose the notifications you want to receive!

- Filter your feed updates
The feed is where you’ll see all the updates happening on the boards you’re subscribed to. On the right side of your screen, you’ll see a few different ways to filter the information displayed in your inbox, which can help manage the amount of updates that concern you.

- Dashboards
Dashboards are a great way to present the most important points from multiple boards in one place. There are over 40 widgets available to help you understand progress, track budgets, assess the workload on your teams, and much more! The marketing dashboard below gives an overview of all of our team’s marketing boards!

- Automations
We know you’re on top of your tasks, but sometimes things still manage to slip by. Automations are designed to help minimize the manual work you have to do by performing certain actions for you, or notifying you when something needs your attention!
For example, since our board is organized by months with each group representing a different month, we could use the following automation to create a new group each month:

The automation below is used for a board we have where each group represents a different stage in our project! Instead of manually moving our items from group to group (and possibly forgetting to do so), we added automations that will move them for us every time a status changes!

- My work
My Work is a great way to see everything you and your team need to complete in one convenient, easy-to-use space. It works by displaying all of your assigned tasks across your monday.com account. Visualize all your work in one place and stay on top of your tasks with My Work!
To get there, click on the right panel of your account and then click on “My Work” on the top left, as shown below:
