Automations help reduce manual work. Subitems give your board more depth. Now, you can use select automations with subitems to create the perfect workflow!

Prerequisites

To use automations with subitems, you must first create subitems on your board. To learn more about how to add subitems to your board, see the article “Everything you need to know about subitems.”

To learn more about how to add automation, check out the Automations article on monday.com.

Interesting use case: Automations with subitems can be used to manage complex projects where each subitem represents a separate phase or task in the project. This allows for more accurate tracking of project progress.

Dedicated subitem templates

To visit the Automations Center, open your dashboard menu by clicking the three dots in the top right corner of the dashboard, hover over “Board Extensions,” and click “Automations”:

In the Automation Center, you can easily find all automation templates that work with subitems by visiting the “Subitems” category:

There are several options in this category that you can apply to your workflow. The last option in this category is to create an automation for your duration. This is the best way to go if you don’t see a template in this category that suits your needs.

Identifying supported formats

When you scroll through the other categories in the Automation Center, you can identify an automation template that supports subitems by looking for a “Supports subitems” sign:

When supported, you can use a subitem as a trigger or field in an alert:

Custom automations

You can also use subitems with custom automations!

You have the option to use a subitem state change to trigger an automation:

Or use the creation of a subitem as a trigger:

You can also create multiple subitems as a result of an automation. In the case of a board where you need subitems to be added to an item as soon as the status changes, you can create the following automation “When the status changes to something, then create a subitem.” You can then customize the automated subitems:
