The security of your information is very important to us, which is why we offer different levels of permissions for your automations. Automation permissions and restrictions give the automation owner control over the editing and viewing capabilities of other users, while space and account permissions create a higher layer of permissions for the space owner and account manager.
Types of automation
Just like in spaces, there are two types of automations:
- Private – visible only to the automation owner and invited members
- Main – visible to everyone in the space. Automations in an open space will be accessible to everyone in the account.

Viewing permissions
Primary automations are visible to anyone in a private space, or to anyone in the account in the case of an open space. They will appear in the left panel and can also be searched for using the quick search feature. A primary automation will open in read-only mode and cannot be edited by anyone except the owner.
Private automations are only visible to the owner and invited members. It will open in read-only mode for members and can only be edited by the owner.

Editing permissions
Who can edit automations?
Both private and master automations can be targeted only to the automation owner. By default, the creator of the automation is the owner, but they can make additional automation members owners. Anyone who is not the automation owner will only be able to view the automation.

Who can see my draft?
A draft is private, meaning only the owner can see their draft in edit mode. All other viewers and even automation owners will not be able to see the live version. In other words, an owner cannot see another owner’s draft until it is saved.
If there is no live version, meaning the automation has been in draft since it was created, all viewers, members, and owners will see this message:

Board-level restrictions
Automations can include multiple boards across your account, which may have different restrictions and permissions. For example, private boards will only be accessible if the automation owner is a member or owner of the board. Column edit and view permissions may also affect automation setup. Let’s take a look at how these permissions work when setting up an automation.
Column restrictions
When setting up automation, the column field will be directly matched to any column restrictions set up in this table.

If there is:
- Viewing restrictions – any blocked column will be hidden from the list of columns in the settings panel
- Editing restrictions – Any blocked column can still be selected from the column list in the settings panel. However, the automation will fail when it tries to run because the automation owner did not have permission to work with that column. The failure will be logged in the automation history log with details explaining the error.
If column restrictions prevent you from viewing or editing the column, the configuration settings will be grayed out, and you won’t be able to click the drop-down menu. The run history will show the results without details from the restricted item.

Board restrictions
When setting up an automation, the board field will not be accessible if board restrictions have been set. For example, if a board is private and you are not a member, the board selection will be grayed out in the setup settings as shown in the image above. The run history will show results without details from the restricted board, as shown in the image below.

Space restrictions
When setting up an automation, you can only select from boards in spaces you have access to. If there is an automation set up that includes actions from a space you don’t have access to, you won’t be able to edit it and won’t see details in the run history.
Account restrictions
A higher level of account-level restrictions can be set by the account administrator. In the “Administration” section under the “Permissions” tab, the administrator can choose which account roles (Admin, Members, Viewers, or Guests) can create new automations within the account.
