At monday.com, we focus on transparency and communication. We believe that one of the most important things in your workplace is communication between colleagues! Creating teams allows you to notify, update, assign tasks and chat with your team members whenever you need to!
Additionally, Teams can provide you with another way to keep information secure in your account. By sharing private or shareable boards with a team, you can ensure that the right people are browsing the right information at all times.
What is a team?
A team is any group of people working together to achieve a common goal. In the workplace, it could be a department, project team, departmental team, cross-departmental team, management teams, or any other type of team that works in your company!
The people in the teams you create on your monday.com account can receive messages, updates, and chat together as a team!
Teams page
The Teams page is where you can view and manage the teams on your account! To find it, click on your profile picture and select “Teams” from the menu.

Here, you will see a list of all the teams available in your account! To access the team you are looking for, either search for it or click on its name on the left side of the screen.

How to create a team
To create a new team on your account, start by clicking “+ New Team” in the top left corner.

From the gallery that appears, you can give your team a name, add a photo to represent it, and start adding team members. Don’t forget to click the blue “Create” button when you’re done!

Teams with guests
When creating a new team, you have the option to assign guests to the team by checking the box that says ” Allow guests on this team .” Once guests are allowed on the team, you can assign them an item or sign them up for a board.
While a team can include both members and guests, it’s important to note that this type of team can only join boards that are shareable. Remember, once a team is created, its type cannot be changed. 
Limitations
Teams that include guests will be subject to the following restrictions:
- A team with guests cannot be part of a team hierarchy, i.e. teams within teams.
- Teams with guests cannot own content (including boards, documents, dashboards, and work centers).
- Guests cannot be placed as team members.
Set up team owners
Once you’ve added members to your team, you can define who will be considered the “team owner” for it! Team owners will be the only ones who can perform actions to update the team, such as adding or removing members, changing the team name and image, creating sub-teams, and more.
To make someone a team member, simply click on the crown icon to the right of their name, as shown below:

How to manage your team
- Add friends
To add members to your team, start by selecting your team on the left side of the screen. Then, click the “Add Team Members” button, select the team members you want to add, and click the blue “Add” button!
You can also add pending users here so they will be included in your team once they join your account.

- Remove friends

- Delete team
You can delete any of your teams by clicking the three-dot menu at the top of the team page and selecting “Delete Team”.

- Create a work schedule for a team
The account administrator can add or adjust work schedules for different users assigned to the team, based on their location, work days, vacations, and working hours. Multiple teams can share the same work schedule!
The work schedule can only be assigned by the administrator to a team, not to individual users. If no work schedule is customized, the default schedule will be applied to all users of the account.

Creating sub-teams
With subteams, you can create multiple different teams within another team, allowing you to manage a broader hierarchy of people and content within your organization. Let’s take a look at the use case to better understand how this feature works!
At monday.com, the knowledge base team includes both content writers and video creators. By creating sub-teams, we can add a separate content team and video team to be included in the larger knowledge base team. To do this, open the knowledge base team page and click the arrow next to “Add users” in the top right corner and then “Create new sub-team”:

Next, we will call our first sub-team “Writers” and add the relevant team members before selecting “Create” as shown below.

Next, we’ll repeat this process, this time creating a new sub-team called “Video Creators” and adding the relevant team members to it!
Now, when we view the Knowledge Base Team page, we can go to the “Subteams” tab and find the new teams of content writers and video creators that we created. From the subteam pages, we can add or remove members, grant team ownership to members, and customize the icon and title of the subteam page.

Monitor team content
To easily understand everything your team is involved in, check out the “Content” tab of the Teams page! In this tab, you’ll find a list of all the boards, dashboards, documents, and work centers your team is registered on.

Remind your team with one click
Our team, the “Caramel Task Force,” is hard at work developing our most delicious new flavor for our ice cream shop! We want everyone on the team to stay up to date with all the rapid changes happening in our company. Let’s take a look at a few ways we can remind everyone at once!
- Register your team
There’s no need to register each team member individually for the relevant boards. You can register an entire team for the team boards at once! Start by clicking the “Schedule” button in the top right corner:
Instead of typing in each team member’s name, just type in the team name! Click, and voila! Now everyone on the team will stay on the same page!

Additionally, when you hover over an assigned team, you can see details such as the team name and the names of all team members:

- Assign tasks to your entire team
We like to use the People column to make sure everyone knows what their responsibilities are. But sometimes, we’re working on something as a team! In those cases, we can assign a task or project to the entire team!
Just click on a cell in the People column, and select your team instead of an individual, just like this:

Communicate with your team
Creating a team makes communicating with everyone at once very smooth and easy! If you need to update your entire team about one of your shared projects, you can reach out to everyone at once!
- “@mention” your team
We like to use the updates feature to keep all board subscribers up to date with any updates to an item. When we want to draw extra attention to an update, we can “@mention” the people who need to see this message, and they’ll get a ring alert so they don’t miss anything important!
When we want to make sure our entire team sees an important message, we can mention the entire team by typing “@” followed by the team name, just like this:

This way, everyone on the team will receive a ringing notification that focuses their attention on this update!
- Automatically update your team
We want every member of our team to come to every taste test for our new flavors so we can pick the winners together! To ensure everyone on our team knows when a taste test is scheduled, we’ve added the following automated recipe:

We customized the recipe to notify the entire team at “The Book Keepers” whenever a label in the “Available” status column changes to “Unavailable.” We also customized the exact notification, as shown above. This automation is just one example of how we can notify our team using automations. Head over to the Automation Center to check out different recipes!
Request to join the team
Have you come across a team you want to join? If so, now you can easily request to join a team you’re not yet a part of! To do this, simply find the main team page and click the “Request to Join” button. A request will be sent to any admin or team member who can approve team requests!

You can also request to join a team by searching for the team icon whenever it is assigned to an item and then clicking “Request to Join” as shown below:
