Microsoft Teams integration guide with monday.com

With our integration with Microsoft Teams, you can turn updates, new items, and changes from a specific item into notifications in MS Teams so everyone is up to date and can work from both platforms and stay in sync!

How to add this to your workflow

Note: The integration with MS Teams must be set up using the Office 365 global admin login. The global admin must be part of the teams you want to include in the integration and the admin must also accept this invitation. That is, it is not enough to add the admin, they must also accept the invitation. (The admin receives an invitation from MS in their email.) This permission is only required for the initial connection between monday.com and MS Teams. After the initial setup, any user on your monday.com account can build the integration.
  • Step 1
To add an integration, go to the board where you want to create the interaction and click on the “Integration” button located at the top right of your screen as shown below. Once you are in the integrations hub, find the Microsoft Teams integration and select it.

  • Step 2

After you click on the MS Teams integration banner, you will find the recipes that the integration offers. Simply select the integration recipe you would like to use to continue!

  • Step 3

After you click on one of the recipes, you will be prompted to connect your monday.com account with your MS Teams account. Click the “Connect” button as shown in the image below, then follow the on-screen instructions to connect to your account.

Great! You’ve successfully connected your account to MS Teams. Now you can start building recipes to communicate effectively with your team!

How it works

Once you have selected one of the recipes and authorized monday.com to integrate with MS Teams, you will arrive at the integration window. Here you can configure your integration and customize the message that will be sent to the MS Teams team in the channel.

Note: Currently, we only support MS Teams channels in the integration. Group calls in MS Teams are not supported.
  • Use 1: When an item is created, notify the team in the channel

This recipe can help you stay up to date on new tasks and items being added to the board so you can get instant notifications of new tasks and make sure the whole team is coordinated!

You can start by clicking on the “Message” field to customize the message you want to appear in MS Teams. You can customize and add the name of the user who created it, the board name, and the item name as well as your customized message about it! Once you’re done, select any channel in any team in your MS Teams account where you’d like to be notified of this message.

Note: We have created a predefined alert message if you would like to use that instead of customizing your own message.
  • Use 2: When a situation changes, notify the team in the channel

This integration recipe is useful for staying up to date on the progress of your projects and tasks. You can notify those who need to know when something is stuck or complete without having to check or schedule meetings. Just sit back and know that when it updates, your entire team can be up to date!

All you need to do is select the situation you want to track, choose the desired situation label, customize the alert, and choose the team and channel that will receive the alert!

Troubleshooting integration with Microsoft Teams

Integration disabled

If you’ve noticed that one of your Microsoft Teams integrations has been disabled with the error message below, it’s because you don’t have the relevant permissions in MS Teams.

Authentication error

Authentication via the chat bot is not available in the Microsoft Teams app version. Once you have signed in via your browser, you can use the chat bot freely within the app.

In addition to integrating with Microsoft Teams, you can also use the Microsoft Teams app. You may be wondering, what’s the difference between the two? Read on to find out.

  • Microsoft Teams app

The Microsoft Teams app lets you add any monday.com board directly to your Microsoft Teams channels. With this app, you can also customize the notifications you want to receive from your monday.com boards. These notifications will be sent only to you via the monday.com bot.

  • Integration with Microsoft Teams

The integration with Microsoft Teams allows you to trigger specific actions when a certain condition is met. Unlike the Microsoft Teams app, with the integration, any notification from the trigger will be sent to the entire channel.
