Monday.com Items Basics: Creating and Managing Items in Boards
An item is a private row (or list item) in a group . Your boards on monday.com are made up of groups of items. The content of an item can be anything you want and depends on the board’s plan — they can represent anything from a project list, to weekly tasks, clients, locations, or anything else that suits your workflow!
How to add an item
There are a few different ways to add a new item to your board! Let’s check them out below.
- You can add a new item at the bottom of a group by clicking in the box that says “+ Add”, typing the name of the item, and then pressing Enter on your keyboard.

- Another way to add an item is by clicking the blue “+ Add” button at the top of your board and then “item.” Creating an item like this will add it to the top of your first group.

- Finally, you can also click on the three-dot menu on the left side of an item and select “Create new item below.”

monday.com isn’t just for project management! Many users have found creative ways to use the platform, such as managing events, planning vacations, and even tracking fitness goals. The flexible platform allows you to customize the boards to your personal needs.
Duplicate an item
To duplicate an item on your board, click the item menu on the left, select “Duplicate” and choose whether you want to duplicate it with or without its updates. You can also duplicate an item by checking the box to the left of the item name and clicking “Duplicate” in the bottom panel that appears.

Deleting an item
To delete an item, you can either click on the item’s menu and select “Delete” or, check the box to the left of an item and click “Delete” in the bottom panel that appears.

If you accidentally delete an item, don’t worry! You can restore the item within 30 days from the Recycle Bin . You can also archive an item instead of deleting it, if you want to restore it at any point.
Edit item
You can edit the item name (task or project) at any time. Just hover over the item name, click on it, and edit as desired!

Matching item terms
You can further customize your board by changing the terminology for items on your board. To do this, click on the board settings menu and select “Change item terminology” as shown below:

From here, you can customize the way items on your board are handled according to your workflow. For example, if you manage properties on your board, you can create a custom “Property” name like this:

And there you have it! Now instead of “item”, each row in your table will be called “property”.
Setting a default value for your item
You can quickly and easily set default values for all items on your board by going to the board’s toolbar, clicking the three-dot menu, and selecting “Item default values” as shown below:

Next, you can define which values you want to set as default, and in which specific columns.

The values you set here will apply to the defined column(s) every time you create a new item on your board!
Changing the height of your item
Do you have long item names that make it hard to see what’s written at a glance? Does hovering over each item get annoying for you? You can change the item height to make sure you see as little or as much of each item as you want!
To change the item height, go to the board header, click the three-dot menu, and select “Item height.” Then simply choose the height that works for you!
