Guests are external users of a monday.com account. Being a guest is a great way to collaborate with a team without being part of the entire account. As a guest, you’ll only be invited to specific boards and dashboards that are relevant to your workflow, so you can focus on your work.

Let’s see how to get started as a guest!

What is a guest?

A guest is a user who is not part of your organization or its affiliates, branches, or any other related entity who has been invited to join a Shareable Board on an account they are not a member of. Examples of guests include clients, vendors, freelancers, external consultants, and more.

Important Note: A guest must have a different email domain than the domains of the account manager’s organization, scales, branches, and any other related entities. If a guest has the same email domain as the account manager, he/she will not be able to join as a guest.

What can guests do?

Guest users have limited access to the host account in terms of viewing and editing boards and dashboards. This is because we want to ensure that each team’s privacy is protected and that guests do not gain access to information that has not been explicitly shared with them. Permissions can be set on each Shareable Board by board owners to limit guest activity.

As a guest, you can:

  • Create new items within the Shareable Board
  • Edit and add columns
  • Add comments within the item updates area and status column
  • Assign users
  • Add views to a board
  • Add automations
  • Add integrations
  • Use My Work
  • Be attached to teams (Enterprise accounts only)
  • Use the Monday platform API
  • View apps you collaborate on in the Developer Center

Guests cannot:

  • See all information, including boards and items outside of Shareable Boards that you have been invited to
  • Create new boards
  • Invite other guests to Shareable Boards
  • To have a board
  • See workspace names
  • See the board-level activity log, or who recently viewed the board
  • Create apps

How do I log in?

When someone invites you to a Shareable Board, you’ll receive an email that looks like this:

Click “Confirm Invitation” to open the board in a new window in your browser. You will be asked to enter your personal information to create your profile. You can also upload a profile picture if you wish.

Communication and collaboration

At Puppy Bootcamp, trainers and dog owners use monday.com to track their dogs’ progress during their training programs. As trainers and owners work together on specific commands, Puppy Bootcamp boards are shared with dog owners so they can collaborate and communicate on progress and plans!

Dog owners can log in as guests to the board and comment on their puppy’s progress in the updates area, like this:

Trainers can then answer their questions, add photos and videos, and update them whenever the puppy is progressing!

Both dog owners and trainers can change the “Progress” status label to update how the puppy is performing, and rate the puppy’s “Understanding” from 0 to 5 stars in the rating column.

Dog owners and trainers can also click on a cell in the date column to select an exact date and time from the calendar that works for them for their next training session.

Both guests and trainers can add new items to the board if they want to work on more commands and tricks!

Anyone can also upload files and photos, including videos of the puppy in the files column!
